The Filipino Chamber of Commerce Hawaiʻi (“the Chamber”, “we”, “us”) runs this website. This policy explains what personal information we collect, why we collect it, who we share it with, and the choices you have.
Information you give us
Membership and account details
When you join the Chamber or create an account we collect your name, email address, username and password, and we may collect your phone number, mailing address and date of birth.
Your directory listing
If you choose to be listed in our member or business directory, we collect the information you enter for that listing. This can include your business name, category, description, services, business address, business phone and email, website, social media links, your role, expertise, education, awards, a profile photo and a business logo.
Information about other people
Some membership forms let you provide a spouse’s or partner’s name, email address, phone number and date of birth, or the name and contact details of a business contact. Please only give us another person’s details if they are happy for you to do so. We use that information solely to administer your membership and to invite them to Chamber events.
Events
When you register for an event we collect your name, email address, phone number and any details the registration form asks for. We keep a record of which events you have registered for and attended. Photographs and video are sometimes taken at Chamber events and may be used in Chamber communications; tell the organiser on the day if you would prefer not to appear.
Payments
Membership dues, event fees and other payments are processed by a third-party payment provider. Card numbers are entered directly with that provider and are not stored on our servers. We keep a record of the transaction, such as the amount, date, membership level and the last digits of the card where the provider supplies them.
Messages and enquiries
If you use a contact form, email us, or leave a comment, we keep that correspondence and the details you include in it.
Information collected automatically
Our web server and caching software record standard technical data such as your IP address, browser type, the pages you visit and the date and time of your visit. This is used to keep the site secure, diagnose faults and improve performance.
If you leave a comment, we also collect the data shown in the comment form, your IP address and your browser user agent string, which helps with spam detection.
What is public and what is not
This matters, so we want to be direct about it. If you complete a directory listing, the information in that listing is published on our website and visible to anyone, including search engines. That is the purpose of the directory: to help people find and contact you.
Your account password, your date of birth, your personal mailing address, your spouse or family details and your payment records are never published. Some fields, such as a private business phone number, are marked as kept private when you enter them.
You can edit or remove your listing at any time from your Member Portal, or ask us to remove it for you.
How we use your information

- To send you Chamber news, event invitations and membership updates

We do not sell your personal information.
Who we share it with
We share information only with the service providers that help us run the Chamber, and only as far as they need it:
- Website hosting. Our hosting provider stores the site and its database on our behalf.
- Customer relationship and email platform. Member and enquiry contact details are synchronised to the Chamber’s CRM so we can manage membership records and send Chamber communications.
- Payment provider. Handles card payments and holds the payment details you enter.
- Email delivery. Used to send account, event and membership emails.
- Gravatar. If you have a Gravatar account, an anonymised hash of your email address may be sent to Gravatar to display your profile picture. Their policy is at automattic.com/privacy.
- Fonts and script libraries. Some pages load fonts and icon libraries from third-party content delivery networks, which receive your IP address as part of that request.
We may also disclose information where the law requires it, or where it is necessary to protect the rights, safety or property of the Chamber, our members or the public.
Cookies
We use cookies for the following purposes:
- Signing in. When you log in we set cookies so the site remembers you. Login cookies last two days, or two weeks if you tick “Remember Me”. Screen preference cookies last a year. Logging out removes them.
- Comments. If you leave a comment you may opt in to saving your name, email address and website in a cookie so you do not have to type them again. These last one year.
- Performance. Our caching software may set cookies to serve pages faster.
You can block or delete cookies in your browser settings, though parts of the Member Portal will not work without the sign-in cookies.
Embedded content from other websites
Pages on this site may include embedded content such as videos, maps or social media posts. Embedded content behaves exactly as if you had visited that other website, which may collect data about you, use cookies and monitor your interaction with it.
How long we keep it
We keep your membership and account records for as long as you are a member and for a reasonable period afterwards, so we can handle renewals, answer questions and meet our accounting and legal obligations. Event registration records are kept as part of the Chamber’s historical record. Comments and their metadata are kept indefinitely so follow-up comments can be recognised automatically. If you ask us to delete your information we will do so unless we are required to keep it.
Your choices and rights
- Access and correct. You can view and update most of your information yourself in the Member Portal, or ask us to do it.
- Remove your listing. You can unpublish or edit your directory listing at any time.
- Unsubscribe. Every marketing email has an unsubscribe link. We will still send you essential messages about your membership and payments.
- Request a copy or deletion. If you have an account, you can ask us for an exported file of the personal data we hold about you, or ask us to erase it.
To make any of these requests, contact us using the details below. We may need to verify your identity first.
Security
We take reasonable technical and organisational measures to protect your information, including encrypted connections, access controls and regular updates. No website can promise perfect security, but if a breach affects your personal information we will act promptly and notify you where we are required to.
Children
This website is intended for adults. We do not knowingly collect personal information from children under 13. Where a young person takes part in a Chamber scholarship or youth programme, we collect their details from a parent, guardian or school. If you believe a child has given us information without consent, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last changed. Significant changes will be announced to members.
